Proposals are classified as internal or external, depending on where they are used or who will read them. Internal proposals are used within companies or organizations to plan or propose new projects or products (this is what you’re doing!). External proposals are used by companies or organizations to offer services or products to their clients. Whether they are internal or external, proposals tend to have the following features:
Introduction
Description of the current situation (problem)
Description of the project plan (solution)
Discussion of the costs/budget
Benefits/conclusion
Graphics
There is no set format for proposals in the real world though there are many models. Proposals should always meet the needs of your proposal’s subject, purpose, readers, and context of use. Formatting for grant proposals is serious business, and the formatting is there for consistency but also to act as a filter. I’ve known grant proposals to be rejected due to font size and style as well as word count. Following directions down to the most minute detail is imperative. In this class, a template has been provided. Please use it to ensure proper formatting (full block reqd.).
Because proposals are difficult to write, it is important that you follow a reliable writing process that will help you develop your proposal’s content, organization, style, and design. An important first step is to start with planning and research. This will help you start collecting the content. Determine how it will be used by answering the Five-W and How questions:
Who will be able to say “yes” to my ideas? A specific decision maker’s name and title reqd.
Why is this proposal being written?
What information do the readers need to make a decision?
Where will the proposal be used?
When will the proposal be used?
How will the proposal be used?
Because proposals can seem overwhelming, I recommend you stick to a simple outline:
Introduction/Purpose (Briefly explain the purpose of your document without providing too much detail; make it clear how you are directly affiliated. To earn credit for this assignment, it must be factual, and you MUST be affiliated.)
Problem (What are you trying to implement and/or improve and why? For whom is it a problem?) Provide background if necessary.
Solution (What is your plan of action to remedy the problem? Be sure it is realistic, manageable, and affordable.)
Cost (How much does your solution cost? Have you considered all costs associated with your plan, including any maintenance? If it’s more than five figures, check with me to determine if your topic is appropriate.) A table would be best here for itemizing.
Conclusion (Discuss how the solution benefits the company and those within or outside of the organization). The solution should involve others in addition to yourself. This should not be a proposal that benefits only you.
Again, your proposal must be real–based on a real relationship between you and a legit person/business/organization. I reiterate: You must be directly affiliated and involved in some way. Information must be factual for this assignment. Real people, real places, real situations, real numbers, and so forth. Failure to follow these guidelines may result in a zero. Please also keep in mind the fact that there is a corresponding presentation; if your topic is incorrect in content or scope, the presentation will likewise earn a low grade. Once you submit the proposal, your topic is locked in; you can’t submit a presentation on a differen topic. I highly recommend you check with me if your topic is not from the list on the handout.
Your textbook has a lot of great info, but to earn max credit, you want to use the “full block” formatted template provided. As a reminder, full block style is single spaced within paragraphs, double spaced between paragraphs; full block has no indents. If a student were to alter spacing–for example, double space throughout–this could affect page count by half; 3 pages double spaced is only about 1.5 pages single spaced/block formatted. This is not a time to get too creative with formatting. Meeting page count and development expectations are non-negotiable.
