Describing a System

– Write an introduction to your system intended to a. inform potential users about your system and b. entice them to use it. Your goal here is to explain to people why they might use the system, not tell them the details of how to do so. Make sure you describe your system as it exists now, not as it might exist in the future (i.e. don’t discuss your proposed change).

You can write this introduction like an advertisement or more matter-of-factly (which is more appropriate will depend on your system and who you are trying to appeal to). The most important thing is that your the readers should gain a good understanding of what your system is and what your system can help them do.

You should at least two images or diagrams to help potential users understand your system. For example, you might make a diagram of the system and its functions. You may use screenshots, but these screenshots should demonstrate specific things users can do. Additionally, to be useful in this context, screenshots almost always need to be modified in some way (for example, having arrows point to the aspects you’re discussing).
– Some questions you should ask yourself:

Who are your potential users? Are there more than one group of potential users? For example, teleconferencing programs are used by both personal (often free) users and corporations who pay for access for their employees. Those two groups want to hear different things. In such a case, you could instead write two mini-pitches, one for each audience.

Once you know who your users are, ask yourself how your system can benefit them? What tasks can it help them accomplish? What problems can it solve for them? How can you make your system sound fun and easy-to-use (for individual users) or efficient and easy-to-maintain (for enterprise users)?
Remember to not plagiarize. You cannot copy from a company’s existing advertising materials or similar sources when writing this document
