Assignment Guidelines

Identify an area or situation on campus that is dangerous or
inconvenient or in need of improvement (endless cafeteria lines, poorly lit
intersections or parking lots, noisy library, speeding drivers, inadequate dorm
security, COVID-19-related policies; etc.).
·
After deciding on a topic, fill out the Audience and Use Profile
Sheet attached to this week’s Canvas module. The sheet will serve as an
important pre-writing strategy to help you formulate your memo.
·
In about 300-350 words, spell out the problem in a
memo to a specified decision maker (dean, campus police chief, head of food
service) who presumably will use your information as a basis for action.
·
The memo should adhere to the following basic formula:
Opening Paragraph:
·
o Introduce
yourself and your reason for writing
Middle Paragraph(s):
·
o Provide
a brief explanation of the problem. Make sure to include enough relevant
details so that the decision maker has an informed view of the problem.
o Request/suggest
a reasonable/achievable action within the decision maker’s control to help
resolve the problem.
Closing Paragraph:
·
o Thank
the decision maker for their time and attention.
·
The memo should be written in a standard memo format (Chapter 14
provides a variety of example formats; Microsoft Word also includes
memo-template features that you can utilize for the assignment).
·
Submit your completed Audience and Use Profile sheet along with
your finished memo in one combined document.
